    Job Summary

    Join a mission-driven team in the Executive Office of the Minnesota Department of Health, where your expertise will contribute to protecting, maintaining, and improving the health of all Minnesotans.

    This position provides high level administrative support to the Minnesota Department of Health's (MDH) Chief of Staff and Assistant Commissioners in the Executive Office.

    Working as an Executive Assistant, you will:
    • Independently manage assigned tasks with minimal supervision to assure prompt handling of matters regarding the Chief of Staff and Assistant Commissioners as well as programs initiated by the Executive Office.
    • Establish and maintain policies, procedures, and processes pertinent to program/agency operations to ensure efficiency, utility, and effectiveness by evaluation needs and systems and making modifications and improvements.
    • Provide administrative support to the Commissioner's Assistant and Executive Office Suite to facilitate the efficient operations as needed and assigned.
    • Serve as Telecom (TCOM) Representative for the Executive Office to afford efficient daily access to business-critical data and basic communication tools.
    • Perform other duties as assigned to maintain the day-to-day operation of the Commissioner's Office.
      This is a hybrid telework position that requires in-office work in the downtown St. Paul location. Telework will be based on the business needs of the unit and is at supervisory discretion.

      Qualifications

      Minimum Qualifications

      To facilitate proper crediting, please ensure that your resume clearly describes your experience in the areas listed and indicates the beginning and ending month and year for each job held.

      Three (3) years of executive assistant or office manager experience supporting multiple sector managers.

      This experience must include:
      • Ability to multi-task, organize, prioritize work, and meet demands of workload with interruptions.
      • Effective communication skills including the ability to draft, review and edit correspondence.
      • Skill in using business grammar, spelling, and punctuation to write, develop and edit reports, letters, procedures, presentations, and other documents.
      • Advanced proficiency in the use of technology and business software such as Microsoft Office Suite, SharePoint, multi-line phones, and video conferencing.
        A Business Administration or related degree will substitute for experience as follows: Doctorate degree may substitute for two years of experience; master's degree may substitute for 18 months of experience; bachelor's degree may substitute for one year of experience; associate degree may substitute for six months of experience.

        Preferred Qualifications
        • Two (2) years of experience supporting C-Suite executives (CEO, CFO, COO, or CIO).
        • Knowledge of state government and policies, particularly as it pertains to the administration and executive-level coordination of the Commissioner's Office.
        • Knowledge of the MDH's organization structure, policies and procedures, mission and goals, legislative process, program budgets, as well as laws and regulations governing department functions and personnel.
        • Variety of experiences working effectively with others from different backgrounds and cultures.
